Our Core Promise

If an independent licensed physician reviews your assessment and determines that treatment is not clinically appropriate for you, you will receive a full refund of your program fee β€” automatically, within 5–10 business days. No forms to fill out. No questions asked. You will never pay for a physician's decision not to prescribe.

1. Overview β€” What ProviaRx Is and Is Not

ProviaRx is a telehealth technology platform that connects patients with independent licensed healthcare providers and third-party licensed compounding pharmacies. We provide the platform, patient intake process, payment processing, and care coordination.

ProviaRx does not:

Independent licensed physicians review all patient assessments and make all prescribing decisions on their own clinical judgment. Licensed third-party compounding pharmacies fulfill and ship all prescriptions independently of ProviaRx.

Understanding this separation is important. Certain fees β€” particularly physician consultation fees and dispensed medications β€” may be non-refundable under applicable healthcare and pharmacy regulations independent of ProviaRx's preferences.

3. Consultation Fees

ProviaRx does not charge a separate consultation fee at intake. The cost of independent physician review is included within your program fee, charged only after you complete your assessment and elect to activate a program.

Before Review Begins

If you request cancellation after payment but before a physician has begun reviewing your assessment, you are eligible for a full refund. Contact us immediately at care@proviarx.com.

After Review Is Underway or Completed

Once a physician has begun or completed their clinical review, that component is non-refundable. This is consistent with standard medical practice β€” a physician's time and clinical judgment have value independent of whether a prescription is issued.

ProviaRx does not retain physician consultation fees. They are remitted directly to the independent provider under their compensation agreement.

4. Prescription Outcomes

ProviaRx does not guarantee any patient will receive a prescription. All prescribing decisions are made exclusively by independent licensed physicians based on their clinical judgment.

If Your Physician Approves Treatment

Your program fee covers consultation, medication, and care coordination for that billing period. Once approved and transmitted to a pharmacy, the refund window shifts to the medication fulfillment timeline in Section 5.

If Your Physician Declines Treatment

You receive a full refund automatically. No request needed. Expect an email confirmation within 1–2 business days and a refund on your statement within 5–10 business days.

A physician decline is a clinical safety decision made in your best interest β€” not a judgment on you as a patient. You are welcome to reapply if your health status changes.

5. Medication Fulfillment

All medications are fulfilled and shipped by independent licensed third-party compounding pharmacies. ProviaRx does not handle, store, or ship medications at any point.

Why Dispensed Medications Are Non-Refundable

These are regulatory requirements, not business preferences. ProviaRx is committed to working with patients on a resolution within what is legally permissible.

6. Refund Eligibility β€” Detailed Scenarios

βœ… Cancel Before Physician Review

Full refund available. Email care@proviarx.com immediately. We will cancel and initiate the refund within 1 business day.

⚠️ Cancel After Review, Before Pharmacy Processing

The consultation component is non-refundable. The medication fulfillment component may be refunded if the prescription has not entered pharmacy processing. Contact us immediately β€” timing is critical.

❌ Cancel After Pharmacy Has Begun Dispensing

Once compounding or preparation has begun, the medication component is non-refundable. This applies even if the package has not yet shipped.

❌ Medication Already Shipped

No refund is available once your order has shipped. Your medication is on its way and you should expect delivery within 3–5 business days.

Eligible for a replacement or refund. See Section 7 for full details.

βœ… Billing Errors and Duplicate Charges

Full refund of the erroneous amount. Email finance@proviarx.com β€” resolved within 3–5 business days upon verification.

7. Shipping & Delivery

Medications ship from partner pharmacies in discreet, unmarked packaging via tracked domestic carriers. Standard delivery is 3–5 business days from the date of dispensing.

Lost Packages

Refunds for lost packages are contingent on the carrier's official lost shipment determination. We are unable to issue refunds for packages still under active carrier investigation. We will keep you updated throughout the process and advocate on your behalf with the shipping carrier.

Damaged or Incorrect Orders

Do not return medications to ProviaRx. We are not a pharmacy and cannot accept medication returns. All return coordination is handled directly with the dispensing pharmacy.

8. Subscription Policy

All ProviaRx programs are billed monthly. There are no contracts, no annual commitments, and no cancellation fees. Cancel anytime.

How to Cancel

Email care@proviarx.com with subject line "Cancel Subscription" and your full name and signup email. We confirm within 1 business day.

Cancellation Timing

We recommend cancelling at least 5 business days before your renewal date to maximize the chance of intercepting your next order. Your renewal date is in your original confirmation email.

No Retroactive Refunds

Cancellation stops future billing immediately. We do not issue retroactive refunds for previous months where medications were dispensed and shipped, regardless of usage.

9. Chargebacks & Billing Disputes

Before initiating a formal dispute with your bank, please contact us first. Most billing concerns are resolved within 1–2 business days without needing a chargeback.

Email care@proviarx.com or finance@proviarx.com with your name, charge amount, date, and a description of the issue.

Unauthorized Charges

Contact us immediately at care@proviarx.com. We investigate and respond within 1 business day. If confirmed unauthorized, a full refund is issued promptly.

Chargeback Notice

Filing a chargeback without contacting ProviaRx first may result in account suspension during the dispute period. When a chargeback is filed, we are required to submit a response package to the card network including your transaction records, assessment timestamps, physician decision documentation, and pharmacy shipment confirmation. We maintain complete, timestamped records of all platform activity. Contacting us directly is faster and simpler for both parties.

10. Refund Processing

All approved refunds are processed to the original payment method. We do not issue refunds via check, cash, or store credit.

If you have not seen your refund after 10 business days from our confirmation email, email finance@proviarx.com and we will provide the refund transaction ID for you to trace with your bank.

11. Contact & Support

All refund and billing requests are handled by our care team via email. Written requests allow us to document and resolve issues accurately and quickly.
